Your privacy matters to us. This policy explains what data we collect, how we use it, and the control you have over it.

1. Who we are

Reclaim is a revenue recovery service that helps businesses identify and reclaim missed revenue, unbilled work, and overpayments. We operate on a per-reclaim invoicing model — we invoice for each reclaim we find.

This policy applies to all visitors and registered users of the Reclaim platform.

2. What data we collect

We collect only what's needed to provide the service:

  • Account data: your name, email address, and authentication details when you register.
  • Company data: the company name, industry, and context you provide for analysis.
  • Financial context: any invoices, contracts, or notes you choose to share. This is optional — a business description is enough to begin.
  • Usage data: standard technical logs (e.g. device, browser) needed to keep the service secure and reliable.

3. How we use your data

We use your data to:

  • Generate recovery opportunities from the context you provide.
  • Send you weekly recovery digests and account-related notifications.
  • Improve the accuracy and quality of our recovery analysis.
  • Issue and manage invoices for the reclaims we identify.

4. Data isolation

Every company's recovery opportunities are isolated. Only you can see and manage your own records — no other customer can access your data. Access to your account requires authentication on every request.

5. Legal basis (GDPR)

Under the EU General Data Protection Regulation, we process your data based on: your consent when you share financial context; the performance of a contract when you use the service; and our legitimate interest in keeping the service secure and improving it.

6. Data retention

We keep your data for as long as your account is active. You can delete any or all of your recovery opportunities at any time, and you can request full deletion of your account and associated data.

7. Your rights

Under GDPR you have the right to:

  • Access the personal data we hold about you.
  • Correct inaccurate or incomplete data.
  • Delete your account and associated data.
  • Restrict or object to certain processing.
  • Data portability — receive your data in a structured format.

8. Sharing and sub-processors

We do not sell your data. We share it only with sub-processors who help us run the platform (e.g. hosting, email delivery, AI analysis), under contracts that require them to protect your data to the same standard we do.

9. Security

Access requires authentication on every request, with optional two-factor authentication available. Sessions are managed by the platform's built-in security. Financial context is processed to generate insights and is not used to train public models.
